Code of Conduct for Drivers
(required learning by all drivers on joining and renewed each year afterwards) Current as at February 2026.

We at Coastal Cars (Southampton) are completely focussed on providing a completely safe, reliable and pleasurable experience for all our passengers every time they choose to use us. Our commitment to these passengers and the contractors that use us is total, consistent and overarches everything we do. To some passengers, we are a vital part of their day, and our success isa source of happiness for them. Accordingly, this Code of Conduct below details what we expect of our drivers every time they represent us as we seek to fulfil our mission.

1.             Overriding Obligation
Safety is paramount; it must not be compromised in any way, shape or form. Drivers must ensure that their passengers arrive safely at the correct destination and on time.

2.             Safety of Vehicles
All drivers must always maintain their vehicles in a safe and satisfactory condition. MOTs should be carried out at the proper time and the Certificate provided to the CCS office within 24 hours of receipt. Failure to achieve this deadline will lead to an assumption that the vehicle has not passed its MOT.

3.              Standards of appearance
High standards of appearance must be always maintained both for yourself and your vehicle. Your lanyard showing your ID badge must be displayed at all times. Your car must show your full licence details. In particular, drivers should pay particular attention to personal hygiene and dress so as to present a professional image to our customers. As a minimum clothing should be clean, smart casual in appearance with shoes. (Note: Unacceptable clothing include jeans, singlets, sports shorts or bathing costumes, sandals or flip flops or open toed sandals)

4.              Safety Items
All our taxis and private hire vehicles are required by law to carry a fire extinguisher and a first aid kit. Our local vehicle licensing authority sets out the type and capacity of the extinguished (in accordance with Local Government (Miscellaneous Provisions) Act 1976).

5.               Behaviour
Drivers must be courteous, polite, helpful and fair to all passengers. In particular, drivers must ensure that all relationships with passengers and customers should be no more than professional, avoiding unnecessary physical contact, avoiding bad, racist or sexist language or anything else that would upset passengers in any way. Drivers should avoid building personal relationships with passengers and/or talking about sensitive or intimate subjects. Drivers should never take pictures of a passenger or vice versa. Drivers should not allow a passenger to see any stored pictures on mobile phones or allow them to hear inappropriate messages or ring tones. 

Coastal Cars Southampton Ltd reserves the right to withhold or suspend payment pending a full investigation following the receipt of any negative feedback or complaint.

6.                 Pick-Up
Drivers must attend punctually at the nominated pick-uptime. If necessary and with no additional cost, assist, where necessary and appropriate, passengers into and out of vehicles. If drivers are going to be late, they should notify the CCS office or the passenger of the delay. At no additional cost, drivers should offer passengers all reasonable assistance with luggage. If a passenger is not ready to be collected and drivers have not been informed that the passenger is delayed, then the driver should wait for 5 minutes after the nominated pick-up time before driving off. This applies whether the driver arrives early or on-time. Pick-up should always be achieved in a safe manner paying special attention to hazards, traffic or obstructions and avoiding bus stops, school gates, school zig zags etc. To avoid nuisance to residents and other road users when picking up, dropping off or waiting, a driver must not sound the vehicle’s horn, keep the volume of any amplified music to a minimum, switch off the engine if required to wait (rather than let it idle) and take whatever additional action is necessary to avoid disturbance to residents in the neighbourhood.

7.                 Driving
Drivers must obey all Traffic Regulation Orders and directions at all times and should drive with due care and consideration for other road users and pedestrians at all times, avoiding sharp breaking, fast cornering and harsh acceleration, waving at other drivers and parking and/or stopping considerately. In particular drivers must avoid any dangerous distractions and shall not use a handheld mobile phone or device whilst driving. Drivers shall not smoke in the vehicle, including e-cigarettes, nor consume alcohol at least 8 hours before or at any time whilst driving or drive while having misused legal or illegal drugs. 

8.                 Fitness to Drive
Drivers must ensure that they take appropriate breaks from work and never drive when tired. We recommended drivers should endeavour to have a minimum of 8 hours rest between finishing work after midnight and starting again in the day and not exceed 13 hours work during any one day. Drivers must submit themselves for testing for illegal drug sat the request of Licensing Staff or a Police Officer. Drivers must report to the CCS office within 24 hours if you suffer any serious illness or injury such as heart attack, stroke, broken limbs, diabetes or sleep apnoea. This also applies to anything else that may affect your driving or would need to be reported to the DVLA because it would affect your licence. In these circumstances, CCS will require confirmation from your own GP or hospital consultant about your continued fitness to drive.
9.                 School Runs
School runs have some special requirements that Drivers mustfollow: If     there is no Passenger Assistant with the pupil in the vehicle, then the     driver has primary responsibility for the pupil. Pupils     should never be left unattended. Either a parent/carer or teacher should     be present at drop-off. Ideally the pupil should be picked up and dropped     off from the same place each day and should NOT be dropped off at a stop     other than their home address or school. Drivers     must keep the school travel route information confidential and secure and     should be destroyed when no longer relevant. No     discussions should take place that relate to pupils at any time without     the agreement of school staff and parents/carers and no discussions with     school staff should take place with the pupil present. All     requests from staff at schools, parents and pupils should be declined and     instead communicated directly to the CCS office.   

Notice Periods:      

Coastal Cars Southampton Ltd requires 30 days’ notice to return a Home to School Transport route. If this agreement is breached in a way that prevents the required notice from being given, the current week’s wages will be forfeited.·      

Coastal Cars Southampton Ltd requires 72hours’ notice to arrange cover for a holiday or day cover. If this agreement is breached in a way that prevents the required notice from being given, one day’s wages will be forfeited.

GENERAL AGREEMENTS

This agreement is in addition to the Rules and Requirements of both Coastal Cars Southampton Limited and Southampton City Council to provide a safe and good quality service to our customer.
